Your expertise:

  • Organization & Planning: Strong ability to manage calendars, track details, and keep workflows moving smoothly.
  • Communication: Clear, professional communicator who can support relationships with staff, artists, partners, and the public.
  • Information Management: Skilled at gathering, organizing, and maintaining accurate information and documents.
  • Problem Solving: Able to anticipate needs, propose solutions, and respond effectively to unexpected challenges.
  • Confidentiality & Professionalism: Trusted to handle sensitive information with care.
  • Initiative: Comfortable taking ownership of tasks, working independently, and supporting multiple people at once.

Position Overview 

The Administrative Coordinator supports the Executive Director and the organization by coordinating administrative systems, assisting with partner relationships, helping with grant processes, and supporting organizational planning and events.

This role is central to keeping The GRAND organized, efficient, and responsive. It is ideal for someone who thrives on structure, enjoys supporting mission-driven work, and takes pride in strong follow-through.

 

Key Responsibilities

Leadership & Organizational Support

  • Provide direct administrative support to the Executive Director, including scheduling, email coordination, prioritizing tasks, and preparing materials.
  • Assist with preparing agendas, documents, and follow-ups for internal leadership meetings.
  • Support communication and coordination between departments to ensure smooth workflows.
  • Maintain organized internal systems, filing structures, and shared documents.

Grant Support

  • Support the preparation of grant applications and reports by coordinating meetings, gathering required documents and materials, and assisting with draft and submission package preparation.
  • Track grant deadlines and reporting requirements.
  • Assist with organizing financial documentation related to funded activities.

Event & Outreach Support

  • Coordinate and support community events and internal initiatives, including planning logistics, scheduling, communications, materials preparation, and RSVP tracking.

Administration & Organizational Support

  • Provide support for board meetings and documentation.
  • Assist with IT and information management systems (Google Drive organization, file permissions, etc.).
  • Conduct research and provide general administrative support across departments as needed.

Your educational background:

  • Education in administration, communications, arts management, or a related field is an asset but not required.
  • Strong administrative, writing, and organizational skills.
  • Experience supporting leadership or working in a non-profit or arts environment is an asset.
  • Intermediate proficiency with Google Workspace and Microsoft Office.

 

Position Type:

Reporting to the Executive Director, this is a permanent, full-time role (35 working hours per week, with a one-hour unpaid break each working day).

Additional hours will be compensated according to our time-in-lieu policy or negotiated with the Executive Director.

Salary

$50,000–$60,000 annually, commensurate with experience

The GRAND is situated on the land where the Bow River meets the Elbow River. The traditional Blackfoot name of this place is Mohkinstsis, also referred to as the City of Calgary. We honor and acknowledge Mohkinstsis and the traditional Treaty 7 territory and oral practices of the Blackfoot Confederacy: Siksika, Kainai, and Piikani Nations, as well as the Iyarhe Nakoda and Tsuut’ina Nations. This territory is also home to the Métis Nation of Alberta, Region 3, within the historical Northwest Métis homeland.
